What the three records actually do
The jargon hides three simple ideas, and getting them wrong is the most common reason a small business's quotes end up in junk folders.
- SPF lists which servers are allowed to send mail using your domain.
- DKIM adds a signature so the receiving server can confirm the message was not altered.
- DMARC tells receiving servers what to do when a message fails the first two, and can report back to you.
Moving from a free address without losing anything
Create the mailboxes on the new domain first, import old mail and contacts, then set the old address to forward in so nothing is missed. Reply from the branded address from day one — that is what retrains customers. Leave the forward running for at least a year, and update the address on invoices, quotes, listings, vehicle signage and your Google Business Profile in the same week.

Personal addresses for people, role addresses for functions: info@ for general enquiries, quotes@ or bookings@ for work coming in, accounts@ for money, and support@ if you need it. Role addresses survive staff changes, can be shared without sharing a password, and stop a departing employee taking a stream of enquiries with them.
Signature and habits
A four-line signature with your name, the business, the branded address and the website does more for credibility than any logo animation. Keep it consistent across phones and laptops, and avoid images that get stripped by mail clients or flagged as spam.
How to check it is working
Send a test to a couple of the big free providers and confirm it lands in the inbox rather than junk. Then check again a month later, because deliverability drifts when new tools start sending on your behalf — a newsletter service, an invoicing tool or a booking system all need to be included in your records.
What it costs and what it replaces
A mailbox on your own domain costs a few dollars a month, and it usually replaces something you were already paying for in credibility. Every quote, invoice and reminder that leaves your business carries the address, so it is the most-read piece of branding you own — read far more often than your logo and by exactly the people who are deciding whether to hire you.
Shared inboxes without shared passwords
When two people need to see enquiries, the wrong answer is one login on two phones. Use a role address with proper delegated access, so each person signs in as themselves. Replies still come from the shared address, you can see who answered what, and removing someone's access takes thirty seconds instead of a password reset and a scramble.
Sending from other tools
Your website form, invoicing software, newsletter tool and booking system may all send mail on your behalf. Each one has to be included in the domain's records or the messages it sends will be treated as suspicious. This is the most common cause of "the customer says they never got the invoice" — the invoice sent perfectly and was filed in junk.

- Keep one address per person, plus role addresses for functions.
- Set a signature with the business name, branded address and website.
- Turn on two-factor authentication for every mailbox.
- Archive rather than delete, so history survives staff changes.
- Re-test deliverability after adding any new tool that sends mail.
